Suhbah School Privacy policy

This Policy applies as between you, the User of this Web Site and SUHBAH SCHOOL LLC the owner and provider of this Web Site. This Policy applies to our use of any and all Data collected by us in relation to your use of the Web Site and any Services or Systems therein.

1. Definitions and Interpretation

Suhbah School LLC ("Suhbah School," "we," "us") runs an online learning community where qualified Muslim teachers lead small live classes for children. This policy explains what information we collect, why, who sees it, and what you can ask us to do with it.

It covers everyone who uses our platform: parents, the children they enroll, and the teachers who teach them.

The short version

If you read nothing else:

  • Children do not have accounts with us. Only parents do. A child has no username, no password, and no profile, and cannot log in, message anyone, or be contacted privately by an adult on our platform.
  • We do not sell your information, and we do not advertise. We do not buy data about you, we do not share it with advertising companies, and we do not use your child's information to target anything at them.
  • Classes are recorded for safety, and recordings are deleted after 30 days. Only we, the teacher of that class, and the parents enrolled in it can see them.
  • Teachers are independent contractors, background-checked before they teach, and contractually barred from contacting your child privately or taking your information off the platform.
  • You can ask us for a copy of your information, correct it, or delete it at any time, by emailing Admin@SuhbahSchool.com.

The rest of this policy is the detail behind those five points.

1. Accounts: parents only

This is the most important thing to understand about how we handle children's information, because it shapes everything else.

Only adults hold accounts on Suhbah School. A parent or guardian creates one account, and enrolls one or more children from it. The children themselves have no login credentials, no profile page, no inbox, and no way to sign in. There is nothing for a child to set up, and nothing for a child to be tracked across.

All messages between a parent and a teacher go through our platform, from the parent's account. A teacher cannot message a child, and a child cannot message a teacher. Teachers are contractually prohibited from exchanging personal phone numbers, email addresses, or social media contacts with families, and from communicating with a child privately by any means.

Children appear on Suhbah School in one place only: live on camera during a class their parent enrolled them in, alongside the other children in that class. We ask that children appear on camera during class, because seeing who is present is part of how a small live class is kept safe.

This means we hold very little information about any individual child, and we hold none of it in a form a child created or controls.

2. What we collect

From parents

  • Account details: your name, email address, and password.
  • Enrollment details: which classes you enroll a child in, and when.
  • Payment details: handled by our payment processor, not by us. We receive confirmation that a payment succeeded, the amount, and the last four digits of the card. We never see or store your full card number.
  • Messages: what you send to teachers through the platform.
  • Anything you send us directly, such as an email to support.

About children

We collect the minimum needed to place a child in the right class and keep them safe in it:

  • First name (or whatever name you'd like the teacher to use).
  • Age or date of birth, so classes match the age range a teacher set.
  • Anything you choose to tell a teacher about your child, such as a learning need or an allergy. This is optional, and it goes to the teacher of that class.
  • The child's presence on camera and in audio during class, which is recorded. See Section 4.

We do not ask children for information directly, and teachers are not permitted to ask them for personal details, contact information, home address, or whether they are home alone.

From teachers

Teachers are independent contractors, not employees. We collect:

  • Identity and contact details, and the state or province they teach from.
  • Professional background, including the credentials, experience and references in their application and public profile.
  • Background check results, obtained through a screening provider with the teacher's separate written authorization. US teachers are screened under the Fair Credit Reporting Act; teachers in Canada provide an enhanced criminal record check. Results are used only to decide whether someone may teach here.
  • Tax and payment information needed to pay them, collected through our payment processor.
  • Proof of insurance.

3. Information collected automatically

When you use our website, our platform records basic technical information: your device and browser type, your IP address, the pages you visit, and when. We use this to keep the service running, to fix problems, and to understand which classes people are looking at.

We use cookies that are necessary for the site to work, such as keeping you signed in.

We do not use advertising trackers, and we do not place any tracking technology for the purpose of profiling a child.

4. Class recordings

Every class is recorded. We record for one reason: so that if a concern is ever raised about what happened in a class, there is a record of it. This protects children, and it protects teachers from unfounded allegations.

Consent. We ask for your written consent to recording when you enroll, and enrollment is not possible without it. If you are not comfortable with recording, Suhbah School is not the right fit, and we would rather tell you that plainly than bury it.

Who can see a recording. Only three parties: Suhbah School, the teacher who taught that class, and the parents enrolled in it. No other teacher, no other family, and nobody outside the platform.

How long we keep them. Thirty days after the session, then they are deleted. We keep a recording longer only where the law requires it, or where it is part of an open safety investigation.

Deleting sooner. You can ask us to delete a recording your child appears in before the 30 days are up, and we will where it is technically possible to do so.

What teachers may do with them. A teacher may use a recording of their own class for their professional portfolio only if they have your separate written consent, or if your child is removed or obscured. Teachers may not download, copy, or share recordings otherwise, and may not make their own separate recording of a class.

5. How we use information

We use what we collect to:

  • run classes, including enrolling your child and giving the teacher what they need to teach them;
  • take payment and pay teachers;
  • keep children safe, including screening teachers, reviewing recordings when a concern is raised, and investigating complaints;
  • answer your questions and provide support;
  • send you messages about your enrollments, such as a class being cancelled or rescheduled;
  • understand which classes are working so we can improve what we offer; and
  • meet our legal obligations.

We will send you occasional emails about Suhbah School, such as new classes. You can unsubscribe from those at any time, and doing so will not affect messages about classes you are enrolled in, which we need to send.

6. What we never do

Some commitments are easier to state as what we don't do.

  • We do not sell your personal information, to anyone, for any price, under any definition.
  • We do not run advertising on Suhbah School, and we do not share your information with advertising networks or ad-technology companies.
  • We do not buy or license data about you from data brokers or marketing vendors.
  • We do not build profiles of children or make automated decisions about them.
  • We do not use your child's information to market to them, and teachers may not market anything to a child during class.
  • We do not let teachers take your contact details off the platform. Their contract forbids it.

If any of this ever changes, we will tell you before it does, and where the law requires consent, we will ask for it.

7. Who we share information with Teachers

The teacher of a class receives the first name and age of each child enrolled, anything you chose to tell them about that child, and your messages. Teachers are bound by contract to use it only to teach the class, to keep it confidential, never to market with it, and to delete it when they leave. Teachers do not see your payment details.

Service providers

We use a small number of companies to run the platform. Each is contractually limited to doing what we ask and may not use your information for their own purposes.

We will disclose information where we are legally required to, where we are responding to a lawful request from a public authority, or where we believe in good faith that it is necessary to protect a child from harm. Where a teacher or we are required by law to report a concern about a child's safety, we will do so, and we will not seek your permission first.

If the business changes hands

If Suhbah School is sold, merged, or transferred, your information may transfer with it. We will tell you before that happens and you will be able to delete your account first.

Other families

Children in the same class see and hear each other during the session, and parents can see which families are in a class. That is inherent to a small live class. We do not publish class rosters or share any family's details with another family.

8. Children's privacy

Our classes are for children roughly aged four to sixteen, so most of what we hold about a child is covered by children's privacy law. In the United States that is the Children's Online Privacy Protection Act (COPPA), which applies to children under 13. For families outside the US, equivalent rules may apply, including the EU and UK General Data Protection Regulation and the UK's Age Appropriate Design Code.

Parental consent. We collect information about a child only from the parent who enrolls them, and only after that parent has created an account and agreed to this policy. Because children cannot create accounts, there is no path by which we could collect a child's information without a parent knowingly providing it.

What you can do as a parent. At any time you can:

  • see what information we hold about you and your child;
  • correct anything that is wrong;
  • ask us to delete your child's information, or your whole account;
  • withdraw consent to recording, which will end your enrollments; and
  • stop us collecting anything further by closing your account.

Email Admin@SuhbahSchool.com to do any of these. We will verify that you are the account holder before we act, which usually means confirming from your registered email address. We respond within 30 days.

If we ever learn we have information we shouldn't, such as a child who set up an account by misrepresenting their age, we delete it.

9. How long we keep things

When you close your account we delete your information on the schedule above, except where we must keep something to meet a legal obligation, resolve a dispute, or enforce our agreements.

10. Security

We protect your information with encrypted connections, access controls limiting who on our side can see what, and vendors chosen partly for their own security practices. Access to class recordings is restricted to the people named in Section 4.

You are responsible for your own account credentials. Use a password you do not use elsewhere, and do not share it. If you believe someone has accessed your account, email us immediately.

No online service can promise perfect security, and we will not pretend otherwise. If a breach occurs that affects your information, we will notify you and the relevant authorities as the law requires.

11. Where your information is held

Suhbah School LLC is based in Texas, United States, and our teachers are based in the United States and Canada. Your information is stored and processed in the United States, and in any other country where the service providers listed in Section 7 operate.

If you are enrolling from outside the United States, US privacy law may offer different protections than the law where you live. By enrolling, you agree to your information being transferred to and held in the United States for the purposes described in this policy.

Your rights depending on where you live

Wherever you are, you can ask us for a copy of your information, ask us to correct it, or ask us to delete it, using the contact details below.

If you live in Texas, California, or another US state with a comprehensive privacy law, you may also have the right to opt out of the sale or sharing of your personal information and of targeted advertising. We do none of those things, as set out in Section 6, so there is nothing to opt out of. You also have the right not to be treated differently for exercising any privacy right, and we will not.

If you live in the UK or EU, you may additionally have the right to object to or restrict our processing, to receive your information in a portable format, to withdraw consent, and to complain to your national data protection authority.

12. Changes to this policy

We may update this policy. If we make a material change, such as collecting something new or sharing with someone new, we will email account holders at least [30] days before it takes effect, and we will ask for consent where the law requires it. Minor changes take effect when posted, and we will update the effective date at the top.

We keep previous versions available on request, so you can see what changed.
